Slough borough council are undertaking a review of its meeting room technology which was put in place in 2020 when they moved into their modern headquarters. They would like to engage with industry on this to understand what is out there and the art of the possible.

In particular, they would like to:

A) Understand if the existing equipment can be improved/used better, and/or

B) Come up with a plan for upgrades and replacements to reset the meeting room technology so that it is far more effective and easier to use.

They are seeking ideas for how they can reset the provision of hybrid meeting technology in meeting rooms and Executive Directors offices so that this works well with minimum effort.

During the briefing session they would like to interrogate the following questions:

  • Can we continue to use some the equipment we have, or should we replace with better specified equipment that will work better?
  • Do we need to redo the cabling to achieve a better experience?

This is the vision they have outlined. Suppliers will have the opportunity to interrogate and share their thinking:

  • an end-to-end AV/UC journey
  • staff can set up a meeting, see available rooms and resources, book resources and rooms, sent invites all from their Outlook/Teams environment
  • In the meeting, the laptops auto-connect to the meeting allowing the holder to present and bring folk into the meeting
  •  QoS and QoC is high
  •  It is intuitive and easy to use.
