User experience in staff movements across multi-locations asset management

When the international leader in asset management needed a better way to enable staff movements across its offices across the world, the business looked for a system of engagement capable of making the user experience convenient. And digital.

2,900 associates needed to see “who is in the office today” or working remotely. They each needed this to be made as easy as possible whether working from their usual location, moving between offices in countries or working internationally. So, in recognition of the constant state of change it was decided to favour a mobile app approach.

Presence when online, when in the office, and when available was one requirement but that was available in some of the other tools on the workstations. What was needed was a set of additional features which the associates knew they needed but could not find anywhere else in company systems.

The specification had to place the highest priority on cyber security, as with all digital systems in the organisation, as well as ensuring the widespread adoption of the mobile app by all associates. The business wanted to drive adoption by choice rather than mandate its use. And to do that, the app designers had to make the mobile app one of the most useful tools in daily use, preferred by the associates themselves.

The answer was found in a customised mobile solution written on top of a proven mobile app design. Architected for use by companies operating in regulated markets, the base solution is secure, resilient to threats and does not introduce a point of vulnerability onto the company’s private network. Privacy by design in the mobile app assures all information exchanged between the associates, such as their geographic location, their activities and their reasons for being in a place, remains protected and confidential among the users sharing it, and nobody else.

Additional features enable associates working in a new location to find their colleagues, to arrange social interactions, and even to find amenities such as restaurants local to their place of work. Associates working on secondments or visiting for meetings find features like those invaluable. Of course, associates know the layout of their usual office location and the amenities nearby, but when their clients require them to work away, and often they don’t know a city very well.

The outcome has been greater team engagement and personal productivity. Associates using the mobile app have adopted its use daily, and they are positively endorsing its use to other colleagues. Investment in future features is being considered.
